Document Busters has been scanning documents for years with expert services throughout the entire United States.  Our service centers are located for ease of processing for your organization.  Many scanning services do not qualify for with professional staff that know rules and regulations, along with compliance for your type of organization.  Our scanning services are offered at our secure scanning facilities or on your premise.  We supply our customers with a confidentiality agreement prior to the beginning of our project.

 

Document Busters offer you professional scanning for any and all size projects, as well as specialty projects for large scale drawings.  We also offer the following Document Management Solutions:

How it all Works

 

Courier Process
The owner of the documents completes the agreement and simply has the information ready for pickup. The documents are picked up and labeled by our service, so the owner does not need to do anything, but show our courier where the documents are. The document pickup is logged in our corporate location.
When documents are active we know the need arises to have some information looked up and retrieved immediately. This is done at no charge by simply calling or emailing your project manager and Document Busters will ensure that you receive
an email or Fax of the information that you need.
Check-In Process
When the information arrives, the boxes are checked for completeness and marked from the project leader. The owner is contacted by the project leader, and document types and exclusions, along with filing technique are discussed and confirmed before the imaging begins. If there are priority boxes, such as active documents or charts those are marked
priority, so the team processes those first. If the owner needs 24 x 7 access to the documents there is a small charge to retrieve documents outside of business hours. During business hours the retrieval is at no charge.
Note: as boxes are completed, they are either stored for 30 days after completion, and then destroyed with a“Certificate of Destruction”supplied to the owner, or the boxes are returned to the owner as they complete if the owner would like the
information back. Boxes can be sent to other locations if the owner determines the location to their project manager.
Prep Stations
Depending on the document quality, documents and indexing is
prepared for the imaging stations. Removal of staples and
indexing of the documents are set into the system. This enables
the imaging station the ability to scan the documents quickly. If
there are exclusions of documents from the information based on
the owner’s request to exclude certain documents, then those
documents are “marked” for exclusion, and remain in the grouping, folder, or chart but will be by-passed by the imaging station.
Imaging Stations
The imaging stations perform the documents to digital using the
indexing structure defined by the owner and project manager.
Using the latest technology, the imaging stations will make the
best possible image quality and have the document OCR if the
owner desires. There is no added cost for OCR of the document.
OCR is Optical Character Recognition and enables the owner to location documents based on the content. In this multiuser environment many staff will be imaging your documents at the same time so we complete the project quickly.
QA Stations
The Quality Assurance stations will validate the images are
accurate and complete checking of page count and scan quality
are ensured at these stations. Tasks that have been marked from
the QA station are re-done to improve quality and accuracy.
Bundling stations
The documents are bundled and either returned or stored for
later destruction. If the documents are returned the project
manager will inform the owner that boxes are on route back to
the owner’s location, along with the number of boxes. If the
boxes are to be destroyed, the boxes are held for 30 days after
completion to ensure the owner has the information safely
stored. The information that is digitized can be held for one year as a backup, if the owner requests Document Busters to retain the electronic files for disaster recovery protection. If the documents are to be destroyed, then upon destruction the owner is emailed by the project manager the Certificate of Destruction.
